You did a great job of summarizing my rambling speech on Monday.
I just want to clarify one thing (I've been avoiding the treasurer's report all week!) -Kathryn wrote the following: "Additionally, government filings required for the calendar year pose challenges for the Treasurer when the Band’s fiscal year starts in June."
The band's official fiscal year on file with the CRA is January 1 to December 31. Thus BCB's federal charity tax return is due on June 30, six months after the end of the fiscal year. The Ontario Corporate return is also due at that time, June 30. FYI BCB is incorporated in Ontario.
BCB's "season", (not formally defined with respect to federal or provincial governments) runs from June 1 of one year to May 31 of the next year. I'm not sure if this is in the by-laws, but an AGM is mandated in the by-laws for the first Monday in June, and a look back at the preceding "season" seems to have been understood for many years. The treasurer's challenge is to get all the tax and corporate returns for the fiscal year ending the previous December 31 done by June 30 as well as having prepared a proposed budget for the upcoming June 1 to May 31 season.
Sorry not to have addressed this with you sooner by email @KChirametli , and you might be best served by just deleting what you said (bold print above) and putting in my two italicised paragraphs in as a "treasurer's note"

Sorry I missed this comment. I’m afraid I’m still getting familiar with forum. I can certainly revise the minutes and replace my summary with your detailed explanation. Since we’ve already accepted the minutes, perhaps this revision should first be reviewed and accepted at our Executive meeting next Wednesday. -

We have NOT approved or passed the minutes for the AGM at an executive meeting. The minutes for the AGM will not be passed (or officially addressed) until the next annual meeting (AGM) in June 2024. Meanwhile you can incorporate my revisions (or not!) and hold on to your minutes until next June. I might bring up those revisions again then or I may have forgotten all about it.
The AGM is a meeting where all band members can vote, but executive meetings are meetings where only the executive can vote, and the executive can't vote to accept minutes that the entire band membership should vote on.
I hope that clarifies things a bit.
@gordon do you, as the expert on all rules things, have any clarifications to add?
